Invoice follow-up automation for a small shop

The polite day-14 note, the day-21 nudge, and the flag when it is no longer polite. How to take invoice chase off the owner without a collections circus.

Somebody on your team “meant to send that.” The invoice is 19 days old. Cash is fine until it is not.

Invoice follow-up is the cleanest first One Lane I install: day 14, day 21, your voice, a flag when it is past politeness.

What I actually wire

  1. A list of open invoices older than N days, from the bookkeeping tool you already use.
  2. A note that sounds like you, not a collections agency.
  3. A stop rule when they pay or when you say “leave it.”
  4. A ping to you when the third note would be rude.

That is one job. It is not a new AR department.

What I will not do

I will not harass people. I will not hide that a machine sent the first notes if you want it disclosed. I will not bolt this onto a system I cannot log into.

If you also want a Friday cash report, that is a second lane, quoted after this one is quiet.

FAQ

Can invoice follow-up be automated without sounding like a robot? Yes, if the copy is yours and the first notes stay polite.

What systems does it need? The bookkeeping tool you already use, plus email. Access has to work.

How much for just this lane? $3,500 once if invoice chase is the only job.

FAQ

Can invoice follow-up be automated without sounding like a robot? +

Yes, if the copy is yours and the first two notes stay polite. Automation should send the note you would have written, then tell you when a human has to step in.

What systems does invoice follow-up automation need? +

Usually the bookkeeping tool you already use (QuickBooks, Xero) plus email. I do not start from a screenshot. Access has to work.

How much does a single invoice-chase lane cost? +

On this site it is a $3,500 One Lane if that is the only job. If you also want reporting and CRM copy, that is a second quote.

Get a free 20-min audit.

Bring one workflow you'd want automated. I'll tell you which deployment fits — and which doesn't — in twenty minutes. No pitch deck, no follow-up sequence. Useful even if you don't buy.

  • A real plan, not a sales call

Which surface (Telegram, Discord, Slack, phone) fits your team, and which one doesn't.

  • Honest "don't buy this" if it applies

If a $99/month SaaS solves it, I'll tell you which one and how.

  • A timeline + price range

When I could deploy, what it'd cost, and what you'd own at the end.
