Housecall Pro invoice to QuickBooks still gets retyped

Housecall Pro invoice to QuickBooks: the first push is already in the sync. The leftover retype is $3,500 once. You own the runbook. No subscription.

The paid Housecall Pro job is already an invoice. QuickBooks still gets a second copy typed by hand on Thursday.

Housecall Pro invoice to QuickBooks is that leftover copy, not a new bookkeeping department. Workflow Automation is $3,500 once, live in 7 to 10 days. You own the runbook. I do not bill a subscription.

Short answer: A Housecall Pro invoice to QuickBooks should land from the built-in sync when you finish, send, or mark the job paid, on Essentials or MAX. Workflow Automation is $3,500 once for the one paid invoice a person still retypes after that sync. If the push already matches, do not pay me. This is not a Jobber payout match, and it is not booking a customer from chat.

What does a Housecall Pro invoice to QuickBooks actually mean?

A Housecall Pro invoice to QuickBooks means the paid job’s lines, total, and customer exist in the QuickBooks company you already close. The first create is Housecall Pro’s sync. The leak is the correction, cancel, or cash deposit a person still types after that link exists.

Housecall Pro’s sync article, updated September 3, 2026, says a finished job, a sent invoice, or a paid job creates the QuickBooks invoice within 2 to 5 minutes and links the two. Later payments update that same invoice.

Estimates do not push. Printing does not push. After the first link, line items, quantities, prices, and descriptions do not follow until someone pushes again. A cancel in Housecall Pro stays in QuickBooks until a person deletes it. Their payments article says cash, check, and other payments are not moved out of Undeposited Funds for you. That cash move is a different hour from the invoice lines.

What does it cost to stop retyping a Housecall Pro invoice to QuickBooks?

Workflow Automation is $3,500 once for one Housecall Pro account, one QuickBooks company, and one leftover you name. The native sync is already inside Essentials and MAX. Pay me only when a person still retypes after that sync is on.

Housecall Pro’s pricing page leads with Basic at $59 a month billed annually. QuickBooks Online sync sits on Essentials, not Basic. Their onboarding guide requires Essentials or MAX. A plan check on October 11, 2026 put Essentials at $149 a month billed annually.

The same $3,500 is on the Workflow Automation price. A second leftover is a second quote. The wider close is bookkeeping automation. The Bureau of Labor Statistics put the May 2024 median for bookkeeping clerks at $23.66 an hour. Two hours a week is about $4,921 over 24 months. One hour a week is about $2,461, under $3,500. Intuit lists Simple Start at $38 a month. That plan does not push a line changed after the first sync.

How does the invoice copy actually run?

The path is one paid Housecall Pro invoice that no longer matches its linked QuickBooks invoice, one write of the fields you signed, and a ping when the total will not tie. It does not send the customer a reminder or decide a refund.

  1. Trigger. A paid invoice already linked in QuickBooks, plus one signed change: a line, quantity, price, or description; a cancel; or a cash, check, or other payment still in Undeposited Funds. You pick one. Not all three.
  2. Action. Write that change onto the linked invoice, void the QuickBooks copy when Housecall Pro canceled it, or move the cash payment into the deposit the bank shows.
  3. System of record. The QuickBooks company the bookkeeper already closes. Housecall Pro stays the job file.
  4. Human escalation. A closed accounting period, an invoice number already taken, a total that does not tie, or a field outside the map. I stop and ping you. I do not guess the credit.

If the office will click “Push invoice to QBO” and the books match, that click is the fix. I will not charge $3,500 to remind someone to press it.

A Jobber payout is a different buy: match it in QuickBooks. Booking from ChatGPT or Claude is AI Front Door. The same connection works in Claude, Grok, and other AI apps that support MCP connectors, the open standard those apps use to reach a business’s tools. Desk is $7,500 once. This copy will not hold Thursday at 2.

What does the $3,500 not include?

The $3,500 covers one Housecall Pro account, one QuickBooks company, one leftover you named, a stop rule, and a runbook you own. Tax, payroll, disputes, and a second leftover stay outside that fee.

Housecall Pro and QuickBooks stay on your bill. I will not file a return or rebuild last year. A live API read needs MAX. A CSV you already export does not. Missed calls are the receptionist, $8,000 once. A web app security review is $2,400, $1,200 to start.

When this isn’t the right move yet

Wait if the sync is off, if you are still on Basic, or if a manual push already matches. The $3,500 is for the paid invoice a person still retypes after the setting is on.

Skip it until Essentials or MAX has been connected for a week. Skip it when the only gap is a button the team will click. Skip it at about an hour a week. Skip it when you want the correction, the cash deposit, and the invoice chase in one fee. Skip it when the leak is the phone, or a customer who should book without calling.

What should be on paper before you pay?

Write one Housecall Pro account, one QuickBooks company, one leftover, and one stop rule before you pay. A blank card means I will not take the $3,500, and I will not invent the copy.

If the card is full, send the audit. It is a short form. I reply with the replacement map within 24 hours. Name the account, the company, and which paid invoice should stop being retyped. If you would rather talk through the workflow and whether it fits, book a 20-minute call.

FAQ

How much does a Housecall Pro invoice to QuickBooks cost to stop retyping? +

Workflow Automation is $3,500 once for one named leftover: the paid invoice a person still retypes after Housecall Pro's own QuickBooks sync. You own the runbook. I do not add a subscription. That sync is already on Essentials and MAX. Turn it on, and watch a week, before you pay me.

Does Housecall Pro already send invoices to QuickBooks? +

Yes, on Essentials and MAX. A finished job, a sent invoice, or a paid job creates the QuickBooks invoice within 2 to 5 minutes. Estimates do not push. Line, price, and description edits after that first link wait for a manual push. A cancel in Housecall Pro does not cancel QuickBooks by itself.

What is not included for $3,500? +

One Housecall Pro account, one QuickBooks company, and one leftover you sign: the correction, the cancel, or the cash deposit. Not all three. Not tax or payroll. Your Housecall Pro and QuickBooks bills stay yours. Booking a job from ChatGPT or Claude is AI Front Door, not this copy.

When should I not buy the invoice copy yet? +

Wait on Basic, where QuickBooks Online sync is not listed, and wait if Essentials sync is still off. Wait if a manual push already matches the books. At the May 2024 clerk median of $23.66 an hour, one hour a week is about $2,461 over 24 months, which is under $3,500.
