The bookkeeper opens last night’s Toast sales summary and types it into QuickBooks before lunch. Sales, tax, tips, discounts, card fees, the cash drawer. Same columns. A new date.
Toast daily close into QuickBooks is that one journal, not a new bookkeeper. Workflow Automation is $3,500 once, live in 7 to 10 days. You own the runbook. I do not bill a subscription.
Short answer: A Toast daily close into QuickBooks is one balanced sales journal for one business date, written into the company file you already close. Workflow Automation is $3,500 once for that single job. Turn on Toast’s own QuickBooks journal first if your plan already includes it. If that journal already ties to the drawer, do not pay me. This is not payroll, and it is not booking a table from an AI app.
What does a Toast daily close into QuickBooks actually post?
A Toast daily close into QuickBooks is one journal for one business date. Sales, tax, tips, discounts, tenders, and card fees have to balance. A person sees the day only when that entry does not tie.
Sales Accounting Sync, updated August 18, 2026, posts that journal to QuickBooks Online after you map the location. The map covers sales categories, tips, discounts, taxes, payments, fees, refunds, and cash activity. It does not support QuickBooks Desktop. Toast says the path is limited release for Toast Retail. A restaurant login may not see it.
Restaurants usually buy xtraCHEF instead. Toast’s shop article, updated July 29, 2026, lists Essentials at $179 a month per location, with accounting sync, and Pro at $279, which adds inventory and recipe costing. xtraCHEF’s QuickBooks article, updated August 24, 2026, says a finished sales setup posts the daily journal. It needs QuickBooks Online Essentials, Plus, or Advanced. Simple Start and Self-Employed cannot use it.
Toast’s sync help says an unbalanced sales journal is typically unpaid or open orders. Pay, discount, or void them before the entry can post. That stop is the job I will take. I will not invent a plug so the day looks closed.
What does a Toast daily close into QuickBooks cost?
Workflow Automation is $3,500 once for one Toast location and one QuickBooks Online company. xtraCHEF Essentials is $179 a location a month and already posts this journal. Pay me when a person still retypes it.
| Retype the close | xtraCHEF Essentials | Workflow Automation | |
|---|---|---|---|
| What you pay them or me | $0 to me | $179 per location a month | $3,500 once |
| 24 months | About $4,921 at two hours a week | $4,296 per location | $3,500 to me, then $0 more to me |
| 36 months | About $7,382 at the same pace | $6,444 per location | Still $3,500 to me |
| What you get | A person types the sales summary | Daily sales journal, plus invoice capture, food cost, and vendors | One named journal, one stop rule, a runbook you own |
| When it stops | The morning you skip it | The journal stops if you drop the location | The journal stays in accounts you control |
$3,500 divided by $179 is about 20 months. After that, a journal-only copy costs less than Essentials if you skip invoice capture and food cost. If you want those, buy xtraCHEF.
The same $3,500 is on the Workflow Automation price. A second location is a second quote. The wider Monday copy is bookkeeping automation.
The Bureau of Labor Statistics put the May 2024 median for bookkeeping clerks at $23.66 an hour. Two hours a week is about $4,921 over 24 months. One hour a week is about $2,461, under $3,500. Intuit lists Simple Start at $38 a month and Essentials at $85, half off for three months for new customers. Simple Start will not run the xtraCHEF sync. That bill is QuickBooks, not my fee.
How does the daily close actually run?
The path is one closed business date in Toast, one journal that matches the map you signed, and a ping only when the debits do not equal the credits. It does not file sales tax or pay the staff.
- Trigger. The business date is closed in Toast, or the sales summary for that date is the file you already trust.
- Action. Post one QuickBooks journal for sales, tax, tips, tenders, and card fees, on the accounts you signed. Net of fees has to match the deposit rule you wrote.
- System of record. QuickBooks Online, the company the bookkeeper already closes. Toast stays the source of what sold.
- Human escalation. An out-of-balance day, an unpaid order, a closed period, or a journal already typed or edited by hand. I stop and ping you. I do not post on top of that day.
Booking a table from ChatGPT or Claude is a different buy. That doorway is AI Front Door. The same setup works in Claude, Grok, and other AI apps that support MCP connectors, the open standard those apps use to reach a business’s tools. Desk is $7,500 once. A sales journal will not hold a reservation. Unpaid invoices are invoice follow-up, a separate $3,500.
What does the $3,500 not include?
The $3,500 covers one Toast location, one QuickBooks Online company, the account map you signed, a stop rule, and a runbook you own. Payroll, vendor bills, tax, and a second location stay outside that fee.
Toast and QuickBooks stay on your bill. I will not build the chart of accounts or file a return inside this price. Supplier bills are a different quote.
When this isn’t the right move yet
Wait if Toast or xtraCHEF already posts a journal that ties, if the retype is about an hour a week, or if Simple Start blocks every outside app. The $3,500 is for the close a person still types.
Skip it when the official journal already matches, when you wanted xtraCHEF for invoices and food cost, or when the chart of accounts is still a draft. I will not guess the tips account. Missed reservation calls are the receptionist, not this journal.
What should be on paper before you pay?
Write one Toast location, one QuickBooks Online company, the account map, and one stop rule before you pay. A blank card means I will not take the $3,500, and I will not invent the journal.
| Check | Ready | Not yet |
|---|---|---|
| Source | One location, one closed business date | ”Every concept, every day, forever” |
| Record | The QuickBooks Online company you already close | Desktop, or a file nobody reconciles |
| Map | Sales, tax, tips, fees, and the deposit rule | ”Match it however you like” |
| Stop | Out of balance, unpaid order, or a closed period | ”Just make the day balance” |
| Scope | This journal only | Payroll, vendor bills, and the tax return |
If the card is full, send the audit. It is a short form. I reply with the replacement map within 24 hours. Name the Toast location, the QuickBooks company, and the morning the retype should stop. If you would rather talk through the workflow and whether it fits, book a 20-minute call.
