QuickBooks estimates from ChatGPT: $3,500, you own it
QuickBooks estimates from ChatGPT is $3,500 once. You own the read-only pending list. QuickBooks stays the record. Sending the estimate is not included.

QuickBooks already stores every estimate you sent. Customer Hub lists them. The question is whether you still open that screen, or ask it from ChatGPT.
Short answer: QuickBooks estimates from ChatGPT means you ask which estimates are still pending and get that list back, with QuickBooks still the record. AI Front Door Look Up is $3,500 once. You own the connection. I do not add a subscription. The same setup works in Claude, Grok, and other AI apps that support MCP connectors. Sending the estimate and taking the deposit are not included. If you already open Estimates every morning and you are the only person asking, do not buy.
MCP is the open standard those apps use to connect to a business’s tools. One connection to QuickBooks.
What are QuickBooks estimates from ChatGPT?
QuickBooks estimates from ChatGPT are a read of estimates still sitting at Pending: customer, number, date, total, and status. QuickBooks stays the record. The chat does not. A pending estimate is a quote, not money owed, and it does not hit the books until it becomes an invoice.
Intuit’s create-and-send article, updated August 3, 2026, says a new estimate starts at Pending, and QuickBooks updates that status when a customer accepts or declines from the email (Intuit). Estimates are non-posting until they become an invoice. Estimates by Customer returns the customer, the number, the status, and the invoice number if it converted. If they said no, set Declined. Do not delete the row to clear the list.
The convert article, same date, says conversion requires Accepted, and a requested deposit has to be paid before that convert is available (Intuit). Customer Hub shows viewed, accepted, or declined. Declined is not still open.
Anthropic’s QuickBooks connector says you can create and send estimates, and that a send waits for your confirmation. The tools named on that page are invoices, aging, sales, and the ledger. They do not name an estimates-by-customer tool. If Claude already returns the pending number, customer, status, and total that matches Customer Hub, stop. Do not pay me for a copy.
xAI’s connector docs, updated October 10, 2026, list built-in connectors such as Gmail, Outlook, and Salesforce. QuickBooks is not on that built-in list. A custom MCP connector is how that question gets into Grok. That is the connection I build, and the same one from ChatGPT or Claude.
Money already owed is QuickBooks overdue from Claude. Vendor bills are QuickBooks unpaid bills from Grok. A bot that pastes yesterday’s export is MCP vs chat bots.
Questions this should answer once it is live:
- “Which estimates are still pending?”
- “Which pending estimates did the customer open and not accept?”
- “What is the total of pending estimates this morning?”
- “Show pending estimates for Lopez only.”
- “Which accepted estimates still have no invoice number?”
How much do QuickBooks estimates from ChatGPT cost?
Look Up is $3,500 once for one system, read-only. Desk is $7,500 once if a second system answers with QuickBooks. Floor is $14,000 once when the crew shares it. Thirty-six months later my bill is still $3,500. Your QuickBooks subscription stays yours.
| Estimates list, by hand | Claude’s QuickBooks connector | AI Front Door Look Up | |
|---|---|---|---|
| Who asks | You, inside QuickBooks | You, inside Claude | You or staff, from ChatGPT, Claude, or Grok |
| What they see | Customer Hub, or Estimates by Customer | Whatever that connector returns, plus invoices and the ledger | Pending estimates you scoped, not the whole file |
| Sends the estimate | You click Review and send | The page says send waits for your yes | No. That is a different job |
| Takes the deposit | You, in QuickBooks | Not a pending-list tool | No |
| Price to me | $0 | $0 | $3,500 once |
| 36 months to me | $0 | $0 | $3,500 |
Look Up is the owner question against QuickBooks only. Desk is the job board plus QuickBooks, so a Jobber quote and the estimate can be the same customer. Do not buy Floor for a menu row. Intuit limits estimates on QuickBooks Online Free and Lite. If Customer Hub has no Estimates list, there is nothing to read.
What does the open-estimate workflow look like?
The trigger is an owner or a bookkeeper asking which estimates are still pending. The action is a read of that list, with Declined and already-invoiced pulled out. QuickBooks is the record. A send, a deposit, or a convert waits for a person.
- Trigger. “Which estimates are still pending?” The same sentence works from Claude or Grok.
- Action. Read Pending only. Return customer, number, date, total, and status. Drop Declined. Put Accepted with no invoice number on its own line. Week one, I set the draft next to Estimates by Customer.
- System of record. QuickBooks. Not the chat, and not a Monday sheet.
- Human escalation. A status that does not match the report. A deposit requested and not recorded. Any send, delete, Accepted click, or convert.
Sending that estimate again on a schedule is Workflow Automation. That is $3,500 once for the one named chase, live in 7 to 10 days. It runs in the tools you already pay for. It does not answer a customer from an AI app. A quote that lives only in Jobber is not in this read. That second system is Desk at $7,500.
What would I turn on first?
Start read-only, and only the pending list. Do not turn on send, convert, or deposit collection. If the connector you already have returns the same names and amounts, stop there and do not pay for a second copy.
Checklist before I take the build:
- QuickBooks Online is the live file, on a plan that has estimates. An admin connects it. No password in a chat.
- Pending is still open. Declined is a no. Accepted with an invoice number already converted.
- One morning, the list matches Estimates by Customer for the same dates, or you can name the gap.
- Staff who may ask are named. Sends, deletes, status changes, and convert stay off.
First lane: pending estimates, the customer, and the total. After ten mornings that match Customer Hub, I stop the side-by-side check.
When this isn’t the right move yet
Skip it if Customer Hub already answers you, if estimates are limited on your plan, or if the leak is sending the quote, taking the deposit, or the phone. A second login on a file with no Estimates list copies nothing.
Wait if you are the only person asking and the list already matches ($0), if Free or Lite still limits estimates, if the real job is the email, the deposit, or the invoice, or if the quote never left Jobber. After-hours rings are the receptionist at $8,000 once, not this list.
What is not included in the $3,500?
The $3,500 does not include sending the estimate, taking the deposit, converting it to an invoice, the overdue customer list, or a security review. Look Up is one system, read-only. QuickBooks’ subscription stays yours.
Floor is $14,000 once when the crew shares the doorway and should not share your QuickBooks login. A web app security review is $2,400, and $1,200 starts it.
Name who may ask, and which writes stay off. Send the short audit. It is a short form. I reply with the replacement map within 24 hours. Look Up is $3,500 once if the pending list is the whole job. If you would rather talk through the workflow and whether it fits, book a 20-minute call.
FAQ
How much are QuickBooks estimates from ChatGPT? +
Look Up is $3,500 once for a read-only list of QuickBooks estimates still pending. You own the connection. I do not add a subscription. Desk is $7,500 once if a second system has to answer with it. Floor is $14,000 once when staff share it. Sending the estimate and taking the deposit are not included.
Does Claude already list open QuickBooks estimates? +
The page says you can create and send estimates, and that a send waits for your confirmation. The published tool list names invoices and aging, not an estimates-by-customer query. If Claude already returns the pending number, customer, status, and total that matches Customer Hub, do not pay me.
Is a pending estimate the same as money owed? +
No. Intuit says estimates are non-posting and do not affect the books until they become an invoice. Pending means the customer is still evaluating the quote. Who owes you is the overdue list. This question is only the estimates still sitting open.
What is not included in the $3,500? +
Not the email that sends the estimate, not the deposit, not converting it to an invoice, and not a security review. QuickBooks stays your subscription. Declined, delete, and progress invoicing stay a human click. A second system, such as Jobber plus QuickBooks, is Desk at $7,500, not Look Up.
