Warranty callback list automation after the job closes
Warranty callback list automation pulls a 30-day list from closed Housecall Pro jobs. Workflow Automation is $3,500 one-time. You own the runbook.

The job is marked finished. Housecall Pro already asked for the review. Thirty days later, nobody has a list of whose repair is still inside the warranty window.
Warranty callback list automation is that list, built from jobs you already closed. Workflow Automation is $3,500 once, live in 7 to 10 days. You own the runbook. I do not bill a subscription.
Short answer: Warranty callback list automation takes closed Housecall Pro jobs of one type you name and puts the ones still inside the warranty window on a list the office calls. Workflow Automation is $3,500 once for that single list, and it stops when the customer already called or the job was itself a callback. A review request is not this list. Booking from ChatGPT is not this list.
What is warranty callback list automation?
Warranty callback list automation is one repeating list. A finished job of the type you named waits the number of days you signed, then lands on the sheet the office already works, with the customer, the address, the tech, and the warranty end. It does not dial. It does not ask for a star rating. A person makes the call.
Housecall Pro already tells the customer the job is done. A text goes out on Finish, and a review request fires when the job is marked finished or fully paid (notifications, reviews FAQ). That is a rating. Campaigns can also email a tagged audience. The campaigns FAQ, updated July 17, 2026, prices the Max plan at $49 a month for 1,000 SMS and 5,000 emails. If that send is already the callback your office works, stop here.
What does warranty callback list automation cost?
Workflow Automation is $3,500 once for the named callback list, and you own the runbook. Housecall Pro and Zapier stay on your bill. A campaign you already trust, or a Zap that already prints the list, is cheaper than hiring me.
| Keep rebuilding it | Campaigns (Max plan) | Zapier Professional | Workflow Automation | |
|---|---|---|---|---|
| What you pay me | $0 | $0 | $0 | $3,500 once |
| Their bill | Plan you already pay | $49/month, 1,000 SMS and 5,000 emails | $19.99/month annual for 750 tasks, or $29.99 month-to-month | Your tools. Zapier, if used, stays your bill |
| 24 months | $0 extra to me | $1,176 | $479.76 annual, or $719.76 month-to-month | $3,500, then $0 more to me |
| 36 months | $0 extra to me | $1,764 | $719.64 annual, or $1,079.64 month-to-month | Still $3,500 to me |
| What lands | A list someone types | A marketing send | A Zap you maintain | One list, one delay, a stop, a runbook you own |
| Already called | You notice, or you call twice | The send can still go | It sends unless you filtered it | The row stops |
Zapier is the source for those task rates. The buy is the finished list and the stop, in accounts you control.
The same $3,500 is on the Workflow Automation price. A second delay is a second quote.
The Housecall Pro pricing page leads with plans from $59 a month. Essentials includes 5 users. MAX includes 8, then $35 a month per extra user, and MAX is the plan with open API access. Contractor ToolStack checked that page on September 10, 2026: Basic $59 a month annual ($79 month-to-month), Essentials $149 ($189), MAX $299 ($329). A live API read needs MAX. A CSV the office already exports does not.
How does the warranty callback list actually run?
The path is a finished job, a wait you signed, one row on the list the office already opens, and a ping only when that row should not be called. The lane does not dial.
- Trigger. A job marked finished in Housecall Pro, and the line or tag is the repair type you named. Estimates do not enter. A job that is itself a warranty callback does not re-enter.
- Action. Wait the days you signed, usually 30. Write one row: customer, phone, address, tech, job type, finish date, warranty end. Do not text the customer. Do not post a review ask.
- System of record. Housecall Pro stays the job. The list is the shared sheet or the morning queue the office already works.
- Human escalation. No mobile number, a customer who already called about the same repair, an exclusion tag, or a finish date outside the window. I stop the row and ping you. I do not invent a callback.
The first lane I ship is one job type and one delay. Sitting estimates are a different job. That shape is estimate follow-up for contractors. A customer who should book the next visit from ChatGPT, Claude, or Grok, without calling the shop, is AI Front Door. The same connection works in whichever of those apps they already use. Desk is $7,500 once if they should leave with a slot. This list does not book anyone.
What is not included for $3,500?
The $3,500 covers one job type, one delay, the columns you signed, a stop rule, and a runbook in accounts you control. The phone call, the review blast, and a second cadence stay outside that fee.
Not in the $3,500:
- The human call. The list says who is due. A person still dials and decides what “it failed” means.
- The review request, marketing consent, and message credits. Those stay in Housecall Pro.
- Estimate follow-up, and answering the shop phone. Missed calls are the receptionist, $8,000 once.
- Your Housecall Pro plan, Zapier, or a second delay folded into the same fee.
When this isn’t the right move yet
Wait if you cannot name the job type and the day, a campaign already produces the list your office works, or the leak is the phone or the booking thread. Paying first only copies a rule you have not written down.
Skip it when:
- You want more reviews. Turn Reviews on. Do not buy a lane for a star request.
- A campaign already reaches those people, and nobody rebuilds a list by hand.
- The window changes by tech and by mood. Write one rule first.
- Estimates sit unsold, customers bounce inside an AI app, or the phone rings out after hours. Those are other offers. This sheet will not fix them.
- You need a live API read, you are not on MAX, and you will not move. An export can still work. Say which one you have before you pay.
What should be on paper before you pay?
Write one job type, one delay, the columns, who reads the list each morning, and one stop rule before you pay. A blank card means I will not take the $3,500, and I will not invent the warranty window.
| Check | Ready | Not yet |
|---|---|---|
| Job type | One repair you can tag in Housecall Pro | ”Anything we might stand behind” |
| Delay | One number of days, usually 30 | Day 7, day 30, and day 90 in one fee |
| Columns | Customer, phone, address, tech, warranty end | ”Whatever the office needs” |
| Reader | One person, one sheet, every morning | A tab nobody opens |
| Stop rule | Already called, no number, or the job was a callback | ”Use your judgment” |
If the card is full, send the audit form. It is a short form. I reply with the replacement map within 24 hours. If you would rather talk through the workflow and whether it fits, book a 20-minute call.
FAQ
How much does warranty callback list automation cost? +
Workflow Automation is $3,500 once for one named list: closed Housecall Pro jobs of one type, due on the day you signed, stopping when the customer already called or the job was a callback. You own the runbook. I do not add a subscription. A second delay is a second quote.
Does Housecall Pro already send a warranty callback? +
It sends a finished-job text and, with Reviews on, a review request when the job is marked finished or fully paid. Campaigns can email a tagged audience after the job. Neither is an office list with the tech, the warranty end, and a stop when they already called. If a campaign is that list, do not pay me.
What is not included for $3,500? +
The fee is one job type, one delay, the columns you signed, and a stop rule. It is not the phone call, a review blast, estimate follow-up, or a second cadence. Your Housecall Pro and Zapier bills stay yours. Booking the next visit from ChatGPT or Claude is AI Front Door, not this list.
When should I not buy warranty callback list automation yet? +
Wait when you cannot name the job type and the day, or a campaign already produces the list and nobody rebuilds it. Also wait if the leak is missed calls or customers bouncing while they try to book. A morning list will not pick up the phone.
