Expensify to QuickBooks still gets retyped: $3,500

Expensify to QuickBooks is the approved report a bookkeeper still types as a bill. Workflow Automation is $3,500 once. You own the runbook. No subscription.

Single warm pendant over a night workshop bench: Expensify to QuickBooks, shown as brass-brad kraft report sleeves already closed, an unopened pad of blank bill forms, and a dull pencil beside an empty steel tray.

The report already says approved. The bookkeeper still opens QuickBooks and types the same lines as a bill.

Expensify to QuickBooks is that leftover copy. Workflow Automation is $3,500 once, live in 7 to 10 days. You own the runbook. I do not bill a subscription.

Short answer: Expensify to QuickBooks already exports an approved report as a vendor bill, a check, or a journal entry on the Collect plan, which Expensify prices at $5 per member per month. Pay me $3,500 once only when a person still retypes that bill because the export misses the rule you close on. If the sync already files the bill, do not buy this. The copy runs in Expensify and QuickBooks. It does not book a customer from a chat app.

What does Expensify to QuickBooks already send?

Expensify to QuickBooks on Collect pulls in your chart of accounts, classes, and customers, then exports each approved report as a vendor bill, a check, or a journal entry. If that export is the bill you file, do not pay me for a second copy.

Expensify’s comparison, published September 23, 2026, says QuickBooks Online needs the Collect plan, QuickBooks Desktop needs Control, and QuickBooks Online Self-Employed is not supported. The same page says Collect is $5 per member per month, and Control starts at $9 per active member per month. David Barrett’s May 8, 2025 pricing note set Collect at a flat $5 per member per month for workspaces that signed up after April 1, 2025, with QuickBooks Online sync included and no annual commitment. Older workspaces can still be on a prior rate.

Five members on the public $5 rate is $25 a month: $600 over 24 months and $900 over 36. That fee stays on your Expensify bill. It buys the export. It does not buy a stop rule for the pile the export still misses.

Expensify’s QuickBooks add-on guide names one leftover I will not talk past. With multicurrency on, vendor bills export in the vendor’s currency, and QuickBooks does not apply the conversion rate, so someone still adjusts the exchange rate after export. That adjustment is a person. A report that exports as one journal when your CPA files a vendor bill per employee is a person too. Those are the hours this offer is for. A receipt that never became a report is a different paste: vendor bill from receipt.

What does the retype cost next to the $5 sync?

Workflow Automation is $3,500 once for one Expensify workspace and one QuickBooks file, and you own the runbook. Turn on the $5 Collect sync before you call me. Pay me only when an approved report still becomes a hand-typed bill.

The same $3,500 is on the Workflow Automation price. A second workspace or a second company file is a second quote.

Intuit’s pricing page lists Simple Start at $38 a month, $19 for the first three months on the current intro. Twenty-four months at $38 is $912. That plan is your books. It does not approve an employee report, and it does not replace Collect.

The Bureau of Labor Statistics put the May 2025 median for bookkeeping, accounting, and auditing clerks at $24.36 an hour. One hour a week is 104 hours over 24 months, about $2,533, and 156 hours over 36 months, about $3,800. Two hours a week is about $5,067 over 24 months and about $7,600 over 36. One hour on the day you close, once a month, is about $585 over 24 months. I will not sell a $3,500 copy against that hour.

How does the bill copy actually run?

One approved Expensify report becomes one QuickBooks bill on the vendor, account, class, and customer you signed. I ping you only when the total misses the report or a field on the map is blank. The run does not scan a receipt or approve a spend.

  1. Trigger. The report status is approved in Expensify, and you have named the QuickBooks shape: a vendor bill, unless the map says check or journal.
  2. Action. Create that bill in the company file you close. Vendor, date, total, and the lines you signed. Match the approved total inside the tolerance you signed. A class or customer is included only when it is on the map.
  3. System of record. The QuickBooks company you already close. Expensify stays the source of the approved report.
  4. Human escalation. A missing vendor, a closed period, a class with no account, a currency line that needs a rate, or a gap past the tolerance. I stop and ping you. I do not post over that report.

Customers booking or paying from ChatGPT, Claude, or Grok is a different buy. That doorway is AI Front Door. The same setup works in Claude, Grok, and other AI apps that support MCP connectors, the open standard those apps use to reach a business’s tools. Desk is $7,500 once. This copy runs in Expensify and QuickBooks, not inside a chat app.

What does the $3,500 not include?

The $3,500 covers one Expensify workspace, one QuickBooks file, the bill map you signed, a stop rule, and a runbook you own. The $5 seat, receipt scanning, approvals, and reimbursements stay outside that fee.

Also outside the fee: card feeds, a second company file, tax advice, and a move off QuickBooks Self-Employed. Those subscriptions stay yours.

Check four things before you pay:

  • The QuickBooks connection is already on, and you have looked at one exported report beside the bill you still type.
  • You can name the workspace, the company file, and the shape: vendor bill, check, or journal.
  • The retype is about two hours a week, or a currency or coding miss that holds the close.
  • A person can still approve a stopped report. I will not guess a missing vendor.

When this isn’t the right move yet

Wait if the Collect export already files the bill, if you have not turned the connection on, or if the retype is about an hour a week. Paying $3,500 before that only buys a paste the $5 seat was priced to do.

Wait on the free Submit plan until you have priced Collect. That plan scans receipts. The QuickBooks Online connection is Collect. Wait on QuickBooks Self-Employed, because that product does not sync. Wait if each approved report already lands as the bill your CPA files. Also wait if the leak is missed calls. This copy does not pick up the phone.

Send the short audit form with the Expensify workspace, the QuickBooks file, and one approved report you still retype. I reply with the replacement map within 24 hours. If you would rather talk through the workflow and whether this fits, book a 20-minute call.

When should I not buy the Expensify retype yet? +
