Soft bounced daylight on a salon marble station, with a curled thermal receipt clipped to a blank carbon bill, an open product carton, and a steel bill spike, for vendor bill from receipt.

The supplier PDF sat in the inbox on Tuesday. On Thursday the bookkeeper still typed the vendor, the bill number, and the total into QuickBooks.

A vendor bill from receipt is that typed bill: the supplier receipt or emailed invoice that becomes a QuickBooks bill you still owe. Workflow Automation is $3,500 once for that one log. You own the runbook. I do not bill a subscription. The write happens in QuickBooks, not inside a chat app.

Short answer: A vendor bill from receipt is the supplier receipt or emailed bill a bookkeeper still types into QuickBooks as money you owe. Workflow Automation is $3,500 once for that one bill log, and you own the runbook. If QuickBooks already saves the bill from the upload, do not pay me. This is not the invoice chase, and it is not a customer paying from chat.

What is a vendor bill from receipt?

A vendor bill from receipt is one accounts-payable write. A named supplier’s receipt or emailed bill becomes a QuickBooks bill with the fields you already use. It does not pay the vendor or replace the bookkeeper.

The lane is one vendor pattern, or one inbox where those PDFs already land. It is a bill you owe, not a card charge already on the bank feed.

Intuit lets you upload a PDF, JPEG, JPG, GIF, or PNG into For review before payment (Intuit). A photo emailed to your custom @assist.intuit.com address can pull dates, amounts, vendor, and the card’s last four digits (Intuit). Receipt upload is limited on QuickBooks Online Free and Lite (Intuit).

If that review already saves the bill, stop. The lane is for the vendor whose account, bill number, or attachment still gets typed after the upload.

What does it cost to stop typing that bill?

Workflow Automation is $3,500 once for the named QuickBooks bill, and you own the runbook. Hubdoc lists $12 a month. Dext’s US business plan shows $25.21 a month, or $302.50 billed annually. Capture tools are not the same buy as one owned bill rule.

Hubdoc lists $12 USD a month and a sync to QuickBooks Online. Dext shows $25.21 a month and $302.50 billed annually for 250 documents. I will not pretend $3,500 beats those subscriptions. Buy them when the missing piece is the file. Buy the lane when the bill still gets typed after the file arrives.

Labor is separate. The Bureau of Labor Statistics put the May 2024 median for bookkeeping clerks at $23.66 an hour. Ninety minutes a week is about $3,691 over 24 months and about $5,536 over 36 months. Thirty minutes a week is about $1,230 over 24 months. That half hour does not clear $3,500.

The same $3,500 is on the Workflow Automation price. A second vendor, a second company file, or the invoice chase is a second quote. Bank-feed categories and job-system pastes are the wider close copy on bookkeeping automation, not this bill.

How does the bill log actually run?

The path is a trigger, one mapped Bill in QuickBooks, and a ping only when the PDF breaks the rule you signed. Nothing in the lane pays the vendor, files sales tax, or creates an account you did not name.

  1. Trigger. A new PDF or photo in the inbox or folder you already use for that supplier.
  2. Action. Create a Bill, not an Expense: vendor, bill number, dates, the account you signed, the amount, and the attachment.
  3. System of record. QuickBooks Online bills. The inbox only feeds that list.
  4. Human escalation. A new vendor, an amount over the cap, a missing bill number, a total that does not match, or two bills that look like the same document. I stop and ping you. I do not guess the account.

A customer booking from ChatGPT, Claude, or Grok is AI Front Door. Desk is $7,500 once. Look Up is $3,500 if they only need to ask. MCP is the open standard those apps use to connect to a business’s tools. This bill log runs in QuickBooks. It will not take a deposit.

What does the $3,500 not include?

The $3,500 covers one source, one QuickBooks file, the bill map you signed, a stop rule, and a runbook you keep. Paying the vendor, the monthly close, and customer checkout stay outside that fee.

Not in the $3,500: a second company file or vendor pattern, paying the bill, sales tax, payroll, or the return. Your bookkeeper still owns judgment. QuickBooks, Hubdoc, Dext, and Zapier stay on your bill. Dext line-item extraction starts at $20.50 a month, or $0.50 a document, on top of the plan. The invoice chase, the Friday report, the bank-rule paste, and catch-up on a file that is months behind are each a different job.

When this isn’t the right move yet

Wait if QuickBooks already saves the bill, you cannot name the account on one vendor, or the typing is half an hour a week. Paying $3,500 before that only speeds up a mess or buys a subscription you did not need.

Skip it when For review already has the vendor, the total, and the account. Skip it when Hubdoc or Dext already publishes the bill and nobody retypes it. Skip it when the leak is money customers owe you, or a customer who never books from chat. Skip it when the books are months behind, every bill needs a paragraph of judgment, or you want this bill, the chase, and the Friday pack inside one fee. I quote extras. I do not flatten three jobs into $3,500.

What should be on paper before you pay?

Write one source, one QuickBooks file, the bill fields, and one stop rule before you pay. A blank card means I will not take the $3,500, and I will not invent the vendor map in the kickoff.

If the card is full, send the short audit. It is a short form. I reply with the replacement map within 24 hours. Name the supplier, the file, and the field that still gets typed. If you would rather talk through the workflow and whether it fits, book a 20-minute call.

FAQ

How much does a vendor bill from a receipt cost to automate? +

Workflow Automation is $3,500 once for one named bill log into QuickBooks. You own the runbook. I do not add a subscription. Hubdoc lists $12 a month. Dext's US business plan shows $25.21 a month, or $302.50 billed annually, for 250 documents. A second vendor pattern is a second quote.

Does QuickBooks already make a vendor bill from a receipt? +

On plans that include it, yes. Intuit lets you upload a PDF or image, and you can email bills to a custom address so QuickBooks pulls the vendor, date, and amount for review. If that review already saves the bill without retyping, do not pay me. Free and Lite limit receipt upload.

What is not included for $3,500? +

The fee is one source, one QuickBooks file, the bill fields you signed, and a stop rule. It is not paying the vendor, sales tax, a second company, or the invoice chase. Your QuickBooks, Hubdoc, and Dext bills stay yours. Booking from ChatGPT or Claude is AI Front Door, not this log.

When should I not buy a vendor bill from receipt lane yet? +

Wait when QuickBooks already files the bill, the stack is thirty minutes a week, or you cannot name the account on one vendor. Also wait if the file is months behind. Capture tools and a bookkeeper cover the rest. A lane is one bill pattern.
