The order is already paid in Shopify. QuickBooks still gets that invoice typed by hand.
A Shopify order to QuickBooks invoice is that one copy for a shop that already sells on Shopify and already closes in QuickBooks Online. Workflow Automation is $3,500 once, live in 7 to 10 days. You own the runbook. I do not bill a subscription.
Short answer: A Shopify order to QuickBooks invoice is already inside Intuit’s connector: a wholesale order becomes an invoice, and a paid retail order becomes a sales receipt. Workflow Automation is $3,500 once for the one paid order a person still retypes after that connector is on. If the invoice already posts, do not pay me. This copy runs in Shopify and QuickBooks. It is not customer booking from an AI app.
What does a Shopify order to QuickBooks invoice actually mean?
A Shopify order to QuickBooks invoice means the paid order exists in the QuickBooks Online company you already close. Intuit’s connector can write it. The leak is the order a person still retypes after that connector is on and still failing.
Intuit’s connect article, updated August 3, 2026, is the rule I use. A Shopify B2B order imports as an invoice: products, company, terms such as Net 30, the order number, and the purchase-order number. Pay that order through Shopify and QuickBooks creates a linked invoice payment.
A paid retail order becomes a sales receipt and a fee expense, not an invoice. If the books want that receipt, do not pay me to type a second invoice on top of it.
Rows in For Review are not on your reports. Product tracking matches by SKU and name. No match, and the product is not added for you. That unmatched paid order is the usual retype.
What does a Shopify order to QuickBooks invoice cost?
Workflow Automation is $3,500 once for one Shopify store, one QuickBooks Online company, and one leftover you name. The connector is already included with QuickBooks. Pay me only when a person still retypes a paid order after that connector is on and still failing.
| Retype by hand | Shopify connector | Workflow Automation | |
|---|---|---|---|
| Price | $0 to me | Free to install with QuickBooks | $3,500 once |
| 24 months | About $4,921 at two hours a week | Simple Start at $38 a month is $912 | $3,500, then $0 more to me |
| 36 months | About $7,382 | $1,368 at that list price | Still $3,500 |
| You get | Someone retypes the paid order | B2B invoice, or a retail sales receipt | One miss, one stop rule, a runbook you own |
| Stops when | You skip a week | Unmatched product, still in For Review | The copy stays in your accounts |
The Shopify App Store listing says the app is free to install and included with your QuickBooks subscription. Additional charges may be billed by Intuit. Intuit’s pricing page lists Simple Start at $38 a month, and also shows $19 a month for three months. The table uses $38 so a short discount is not the 24-month bill.
The same $3,500 is on the Workflow Automation price. Zapier’s pricing page starts Professional at $19.99 a month, and Zapier’s pricing post says that rate is billed annually for 750 tasks. On that starting tier, 36 months is about $720. If the Zap already creates the invoice and you can see failures, do not pay me $3,500 to redraw it.
The Bureau of Labor Statistics put the May 2024 median for bookkeeping clerks at $23.66 an hour. Two hours a week is about $4,921 over 24 months and about $7,382 over 36 months. One hour a week is about $2,461 over 24 months, under $3,500.
A closed-won deal in a CRM is a different file: HubSpot deal to QuickBooks invoice.
How does the copy actually run?
The path is one paid Shopify order the connector did not invoice, one write of the fields you signed, and a ping when the product or the customer will not match. It does not chase the customer, and it does not post the payout.
- Trigger. The order is paid, the connector is on, and this order is the signed miss: still in For Review because the product did not match, or a B2B invoice that never left that tab. Not an order that already posted.
- Action. Create the QuickBooks Online invoice from the customer and items you mapped, then stop. I do not record the payout or the fee.
- System of record. The QuickBooks Online company the bookkeeper already closes. Shopify stays the order file.
- Human escalation. A closed period, a taken invoice number, a product I cannot match, or QuickBooks Desktop. I stop and ping you. I do not guess the item.
Booking a customer from ChatGPT or Claude is AI Front Door. The same setup works in Claude, Grok, and other AI apps that support MCP connectors, the open standard those apps use to reach a business’s tools. Desk is $7,500 once. This copy will not hold a delivery window. It runs in Shopify and QuickBooks.
What does the $3,500 not include?
The $3,500 covers one Shopify store, one QuickBooks Online company, one leftover you named, a stop rule, and a runbook you own. The plans, tax, the payout, and a second leftover stay outside that fee.
Shopify and QuickBooks stay on your bill. I will not file a return. QuickBooks Desktop is a different quote.
A payout that will not match the bank is a second leftover. The invoice chase is another job at the same $3,500. Missed calls are the receptionist, $8,000 once. A web app security review is $2,400, $1,200 to start. A public site that does not convert is a quoted rebuild, not this copy.
When this isn’t the right move yet
Wait if the connector already writes the document your books need, if a cheap Zap already does, or if the retype is about an hour a week. The $3,500 is for the paid order a person still retypes after the connector is on and still failing.
Skip it when B2B invoices already post and the payment links, or when a retail sales receipt is the right document. Skip it when For Review is one SKU you can map once, or when the retype is about an hour a week. Skip it when the leak is the phone, a customer who should book without calling, or a storefront that does not sell.
What should be on paper before you pay?
Write one Shopify store, one QuickBooks Online company, one leftover, and one stop rule before you pay. A blank card means I will not take the $3,500 or guess a second miss.
| Check | Ready | Not yet |
|---|---|---|
| Connector | On, and this paid order still gets retyped | Never installed, or auto-add never turned on |
| Leftover | One unmatched product, or one B2B invoice stuck in For Review | Every retail receipt, plus the payout |
| Record | The company you already close | Desktop, or a file nobody reconciles |
| Stop | Closed period, duplicate number, or no product match | ”Just make it match” |
| Scope | This copy only | The chase, tax, and a second store |
If the card is full, send the audit. It is a short form. I reply with the replacement map within 24 hours. Name the store, the company, and the paid order that should stop being retyped. If you would rather talk through the workflow and whether it fits, book a 20-minute call.

Does QuickBooks already create an invoice from a paid Shopify order? +
For a Shopify B2B order, yes. Intuit's help article, updated August 3, 2026, says a wholesale order imports as an invoice, and a payment through Shopify creates a linked invoice payment. A paid retail order becomes a sales receipt and a fee expense, not an invoice. Orders still in For Review are not on your reports until you confirm them.

Your Shopify plan, your QuickBooks plan, sales tax filing, payout matching, a second store, and the invoice chase. Not Desktop. Not a storefront rebuild. Not a customer booking from ChatGPT or Claude. That booking is AI Front Door. A second failed path is a second quote at the same $3,500.
When should I not buy the invoice copy yet? +
