Zapier lists Professional at $19.99 per month billed annually for 750 tasks, and $29.99 if you pay month to month. Twenty-four months at the annual rate is $479.76. Thirty-six months is $719.64. That rent is cheaper than a $3,500 build. I will not pretend otherwise.

Labor on the list is separate. The Bureau of Labor Statistics put the May 2024 median wage for secretaries and administrative assistants at $22.82 an hour. If this list is two hours every week, that is about $2,373 a year, about $4,747 over 24 months, and about $7,120 over 36 months. That is the repeating hour, not a promise it pays for itself in month two.

The same $3,500 is on the One Lane price. A second list, a second brand, or text on top of an email cadence is a second quote.

If the studio software already sends the reminder, do not pay me to duplicate it. Mindbody starts at $79 a month per location in the U.S. for booking and payments. Twenty-four months of that starter plan is $1,896. Thirty-six months is $2,844. Marketing automation sits on a higher plan they quote. The starter price is a studio system, not this lane.

How does the reminder actually run?

The path is a date trigger, one send in the copy you signed, and a stop when they reply, renew, or the record does not match. Nothing in the lane changes the price, the term, or the contract.

  1. Trigger. A membership or retainer end date hits 30 days, then 7 days, in the system you already trust.
  2. Action. Send the email or SMS you approved. Do not invent a discount. Do not add a third touch unless you named it.
  3. System of record. The membership list in Mindbody, HubSpot, or the sheet where the renewal date already lives. The inbox is not the record.
  4. Human escalation. A reply, a failed payment, a missing date, a price dispute, or two records for the same person. I stop the next send and ping you. The first lane I will ship is one list, two touches, one channel.

Unpaid invoices are a different job. That chase is invoice follow-up. Do not buy a renewal note to dun a customer who already owes you.

Booking from ChatGPT into the calendar is also a different buy. That doorway is Business MCP. Desk is $7,500 once. A reminder email will not catch someone who never became a member.

What does the $3,500 not include?

When this isn’t the right move yet

Wait if the software you already pay sends the 30-day note, you cannot name the date field, or you wanted a salesperson and not a reminder. Paying $3,500 before that only speeds up a messy list.

Skip it when:

  • Mindbody, the CRM, or the email tool already sends this exact cadence and the only annoyance is the logo.
  • You want the reminder, the invoice chase, and the Friday pack inside one fee. I quote extras. I do not flatten three jobs into $3,500.
  • The leak is missed calls, or people who get a recommendation in ChatGPT and never book. A renewal note will not pick up the phone.
  • The list has no end date, or half the rows are duplicates. Clean the date before you automate the send.
