Last month’s Ramp card charges are already in the accounting tab. Someone still assigns the category, the class, and the customer before the close.
Ramp expenses into QuickBooks is that leftover coding pass. Workflow Automation is $3,500 once, live in 7 to 10 days. You own the runbook. I do not bill a subscription.
Short answer: Ramp expenses into QuickBooks already sync as expenses on Ramp Free, which is $0 per user per month and includes QuickBooks Online. Pay me $3,500 once only when a person still codes category, class, or customer by hand after the rules you can already write. If the sync already matches the close, do not buy this. The pass runs in Ramp and QuickBooks. It does not book a customer from a chat app.
What do Ramp expenses into QuickBooks already sync?
Ramp expenses into QuickBooks already sync as expenses on the free plan, with category, vendor, location, customer, class, a billable flag, memo, and the receipt. If that coding is the one you close on, do not pay me for a second pass.
Ramp’s QuickBooks help says card transactions land under Expenses. The default card account has to be a liability credit-card type, and Ramp syncs them in US dollars only. A wrong category is fixed in QuickBooks after the fields lock.
You can split the amount across categories. A class split needs QuickBooks set to one class per row. Location and vendor do not split. Ramp does not pull custom tags. Class tracking has subscription prerequisites in QuickBooks.
Ramp’s pricing page lists Free at $0 per user per month, with basic accounting rules and QuickBooks Online. Plus is $15 per user per month, plus a platform fee Ramp does not publish. Annual billing saves 20% on the seat price. Plus is where Ramp lists AI coding for every field. The integration page requires an active QuickBooks Online company in the US or Canada. One Ramp account syncs one QuickBooks company. A second company is a second quote.
An approved report typed as a bill is a different paste: Expensify to QuickBooks.
What does the coding pass cost next to the free sync?
Workflow Automation is $3,500 once for one Ramp account and one QuickBooks company, and you own the runbook. Turn on the free QuickBooks sync and the basic rules before you call me. Pay me only when a person still codes the card expense by hand.
| Keep coding by hand | Ramp Free | Workflow Automation | |
|---|---|---|---|
| What you pay me | $0 | $0 | $3,500 once |
| Listed price | $0 extra for the coding | $0 per user per month | $3,500 once, no subscription from me |
| Eight Plus seats, 24 months | The labor below, if Plus is not on | $2,880 in seats, before the unpublished platform fee | $3,500 |
| Two hours a week, 24 months | About $5,067 | $0, and the labor remains if someone still codes | $3,500, then that coding should stop |
| One hour a week, 24 months | About $2,533 | $0, the right first buy when a rule would cover it | $3,500, which is more than the labor |
The same $3,500 is on the Workflow Automation price. Ten Plus seats at $15, before the platform fee, are $3,600 over 24 months and $5,400 over 36. If that AI coding would clear the field, buy the seats. I will not quote a platform fee Ramp has not published.
The Bureau of Labor Statistics put the May 2025 median annual wage for bookkeeping, accounting, and auditing clerks at $50,670, or $24.36 an hour on a 2,080-hour year. Two hours a week is about $5,067 over 24 months and about $7,600 over 36. One hour a week is about $2,533 over 24 months. I will not sell $3,500 against that hour.
How does the coding pass actually run?
One cleared Ramp card transaction gets the category, class, and customer on the map you signed, then syncs as a QuickBooks expense in US dollars. I ping you only when a required field is blank or the total misses. The run does not collect receipts or approve spend.
- Trigger. A cleared Ramp card transaction is still uncoded, or it sits on the default account only, and the merchant is not on a rule you already trust.
- Action. Set the category you signed. Add class, customer, or billable only when that field is on the map. Split by category, or by class when QuickBooks uses one class per row. Do not split location or vendor. Sync the expense. Match the Ramp total in US dollars, inside the tolerance you signed.
- System of record. The QuickBooks Online company you already close. Ramp stays the source of the card transaction and the receipt.
- Human escalation. A missing vendor, a closed period, a class that did not import, a non-dollar amount, a custom tag, or a location you wanted on one line. I stop and ping you. I do not sync over that transaction.
Customers booking or paying from ChatGPT, Claude, or Grok is a different buy. That doorway is AI Front Door. The same setup works in Claude, Grok, and other AI apps that support MCP connectors, the open standard those apps use to reach a business’s tools. Desk is $7,500 once. This coding pass runs in Ramp and QuickBooks, not inside a chat app.
What does the $3,500 not include?
The $3,500 covers one Ramp account, one QuickBooks company, the coding map you signed, a stop rule, and a runbook you own. Ramp’s $0 plan, Plus seats, receipt matching, approvals, and reimbursements stay outside that fee.
Also outside the fee: statement payments, cashback, accrual journals, a second company file, and tax advice. Reimbursements sync as bills. This offer does not type them.
Check four things before you pay:
- QuickBooks is already connected, and you have looked at one synced expense beside the line you still code.
- You can name the Ramp account, the company file, and the fields: category, and class or customer only if you close on them.
- The leftover is about two hours a week, or a split the sync will not carry.
- A person can still code a stopped transaction. I will not guess a vendor.

When this isn’t the right move yet
Wait if QuickBooks is not connected, if a basic rule would code the merchant, or if the coding is about an hour a week. Paying $3,500 before that buys a pass the free sync was already priced to do.
Wait if Plus would code the field for less than the labor. Wait if the leak is a statement payment you matched twice, or a reimbursement you still type as a bill. Wait if each expense already lands with the category, class, and customer you file. Also wait if the leak is missed calls. This pass does not pick up the phone.
Send the short audit form with the Ramp account, the QuickBooks company, and one card expense you still code. I reply with the replacement map within 24 hours. If you would rather talk through the workflow and whether this fits, book a 20-minute call.
FAQ
How much does it cost to stop coding Ramp expenses into QuickBooks by hand? +
Workflow Automation is $3,500 once for one Ramp account and one QuickBooks Online company. It fills the coding map you signed and stops when a required field is blank or the total misses. You own the runbook. I do not add a subscription. Ramp Free stays $0 per user on your bill.
Does Ramp already send card expenses to QuickBooks? +
Yes. Ramp's help center says card transactions sync as expenses, with category, vendor, location, customer, class, a billable flag, memo, and the receipt. The card account has to be a liability credit-card type. Once synced, those accounting fields lock in Ramp. If that coding already matches the close, do not pay me.
What is not included for $3,500? +
The fee is one Ramp account, one QuickBooks company, the coding map you signed, and a stop when a field is blank. It does not include Ramp Plus seats, receipt collection, approvals, reimbursements, statement payments, or tax advice. A customer booking from ChatGPT or Claude is AI Front Door, a different offer.
When should I not buy the Ramp coding pass yet? +
Wait if QuickBooks is not connected, if a basic rule would code the merchant, or if the leftover is about one hour a week. At $24.36 an hour that is about $2,533 over 24 months, under $3,500. Also wait if Plus, at $15 per user per month plus an unpublished platform fee, would code that field.
